ACCESS test scores data tracker for Google Sheets

Easily monitor and analyze your students' WIDA ACCESS scores with this user-friendly Google Sheets template, designed to track both group and individual student progress. This powerful tool, created based on my years of experience working with ACCESS test scores, provides clear visualizations and detailed performance insights. Track scores for all students in one place, while also viewing detailed data for each individual student’s performance. Visualize student progress over time with automatically generated bar graphs, highlighting trends in language proficiency across the four domains (Listening, Speaking, Reading, and Writing). Dynamic checkboxes automatically update based on student progress towards specific goals such as a state-issued target score, a minimum required literacy score, or a minimum score to exit EL status. The percentage of students achieving these goals is also calculated automatically, with minimal effort on your part.

Also included is recording of the number of service minutes (push-in or pullout) that each student receives. I've used this in the past to justify the minutes of service (more or less) for students the following year, and even to advocate for the hiring of another EL teacher when I could clearly demonstrate that a reduction in minutes of support was leading to failure to make progress. There are also checkboxes to identify which students are on IEPs or 504 plans.

The file is currently set up with the required exit scores in Massachusetts, as that is where I work, but you can quickly and easily change those to your state's standards.

I have also included other Massachussetts-specific templates that have space to record MCAS scores. In Massachusetts we are also required to have student success plans for students who do not reach their state-assigned target on the ACCESS test. The state does not have a specific format that they require for the student success plans. The one I've included here is one that I have used and the state has been happy with it. Whether your state requires them or not, I think student success plans are a good idea for any student who is making slow or no progress on ACCESS.

This tracker is perfect for EL coordinators, teachers, and administrators focused on making data-driven decisions to improve student outcomes! All the sheets are printable. The individual student records are ideal for focusing conversations with students about their progress.

I cannot be your Google Sheets tech support person, but I have set the file up to be as automated as I can make it. For example, all the check boxes are triggered automatically. The file also comes with several pages of explanations.

As a 5th grade teacher, I use this planner every day. It helps me quickly jot down lesson plan notes (like what math lessons I'm teaching this week), note any meetings I'm supposed to attend (or run), and record any parent communication and students I need to further support. It also includes a weekly positive affirmation, which is as much for me as it is for the students, and a question of the day. I use my teacher planner in conjunction with the Student Planner and the Question of the Day Google slides so that I am intentional about saving time for social emotional learning in my busy day.

Once in their groups, they’ll be presented with behavior management scenarios—common classroom challenges that need immediate attention. Within their tribes, teachers will discuss and develop strategies to de-escalate or address these issues effectively. Each tribe will select a representative to share their group’s approach with the other teams.

Over the course of the PD, teachers will engage in four additional scenario discussions, each designed to encourage collaboration and learning from one another’s experiences. By the end of the challenges, tribes will vote for the individual in their group who contributed the most creative or effective strategies. Winners from each tribe will receive a prize, adding a fun and competitive element to the session.
The Survivor theme is enhanced throughout the PD with integrated background music that plays automatically via embedded YouTube links on the slides, adding to the immersive experience.

The tracker should be used to ensure supervision meets the requirements set forth and includes a section for notes. Sample RBT Tracking is included.

Supervisor and RBT® should share responsibility in ensuring hours are accurately calculated. This tracker is automated in calculating percentage, but requires RBT® to determine the total amount of behavior analytic services they provided during the month. Hours logged in the excel sheets should only include hours in which supervision has been provided.
